Our University (Law) client in Boston is looking for an Office Administrator with excellent multi-tasking abilities, strong communication skills, and a customer service mentality to a busy university department. This role will be remote to start, but will be on-site in August. This is a contract role with the potential for extension. Must exhibit discretion and professionalism in handling confidential information. Immediate availability to interview and start is needed.

Responsibilities include (but are not limited to):

  • Serve as approachable first point of contact by answering the phone, responding to emails, greeting students who come in for advising appointments (once on-site) 
  • Send regular communications to students and escalate questions or student concerns when necessary to relevant individuals 
  • Enter information into databases to track responses to job postings
  • Provide calendar support and engage in calendar management for student appointments
  • Update job postings on university site as needed
  • Handle incoming and outgoing mail, and distribute to the appropriate staff (once on-site)
  • Additional administrative duties as needed

Qualifications:

  • Excellent proficiency with Microsoft Office Suite
  • Strong communication skills in person, over phone, and via email
  • Excellent interpersonal skills and critical thinking
  • Comfortable working both independently and collaboratively with a diverse team
  • Strong customer service experience
  • Experience managing multiple calendars
  • BA/BS in any field and at least 1 year of professional experience
