Our Technology Company in Boston, MA is looking for an Office Administrator/Reception to their team. This is a first point of contact reception support role with additional responsibilities supporting the HR and recruitment teams. This full-time position will be mostly on-site with some remote shifts. Immediate availability to interview and to begin working is needed. Only local candidates considered.
Responsibilities include (but are not limited to):
- Serving as main point of contact with building management to own and help quickly resolve any issues that may arise (e.g., scheduling maintenance)
- If any on-site interviews are taking place, serving as a friendly, professional face of the client, making sure the candidate has an excellent experience from start to finish
- Keeping the kitchen, conference rooms, and other common space clean and tidy
- Checking stock of food, beverages, coffee and cold brew, and office supplies regularly and ordering as necessary
- Ordering, setting up, and cleaning up office lunches
- Answering the door and greeting guests
- Accepting packages, dispersing mail, and shipping out items as necessary, including new hire equipment
- Serving as main point of contact with building management to own and help quickly resolve any issues that may arise (e.g., scheduling maintenance)
- Owning new hire paperwork – setting up newly hired employees in our HRIS and benefits platforms ahead of their first day, coordinating background checks, and making sure all information is completed in an accurate and timely manner
- Helping set relevant onboarding meetings for employees’ first week with client
- Coordinating day-to-day logistics for selecting and distributing monthly company gifts
- Planning and executing on social events (e.g., hot sauce tasting, virtual paint nights)
- Assisting other teams in planning and executing team events
- Assisting with plans for the company holiday party for December
- Researching and executing on monthly t charity donations – research and then handling actual donations
- Purchasing SPIFs and auditing commission payments for Sales team
- Help with ad hoc recruiting team needs, such as responding to candidates and scheduling interviews
- Assisting with other ad hoc special projects with People Team (Values workshops, HRIS implementation, recruiting initiatives) and others (Marketing, Sales, Tech) as needed
Qualifications:
- Applicants must possess strong writing, communication, and organizational skills
- Proficiency with Microsoft Office, specifically Excel and Word is required
- Strong attention to detail
- The ability to work independently, as well as part of a team.
- Strong work ethic and sound judgment are essential.
- Bachelors Degree or four years of secretarial, administrative experience
