Our client, a local University in Boston is looking for a Graduate Program Manager to manage all activities and events associated with the academic programs of the Division of Systems Engineering and the Division of Materials Science Engineering, including serving as primary liaison between faculty, graduate students, and the Administration to help  achieve University goals for recruitment, retention, and superior service. The focus for this role will be managing the Graduate programs and completing a Process Documentation project.

While this is a three-month contract on-site position, if it is extended after three months, there is a possibility of a hybrid arrangement – with remote work one or two days a week.

Responsibilities include (but not limited to):

  • Manage Graduate Student Programs and student support services, including using discretion in counseling students on administrative options, policies and procedures.

  • Liaison with intercollegiate and inter-departmental graduate program managers in tracking students who cross-over traditional college and department boundaries in research, coursework, and other requirements.

  • Maintain and provide graduate program materials, print and electronic.

  • Maintain and improve graduate student databases for tracking program history and funding history for analytical reporting and planning purposes.

  • Evaluate and confirm student eligibility for registration and RA contract stipend rates, register students and hire or liaison with hiring departments to confirm rates and employment

  • Prepare and disseminate information for completing theses.

  • Direct students in necessary preparations. Including scheduling of thesis and completion of all forms required by the college and library.

  • Assist students in coordinating final defense and dissertation.

  • Arrange for binding and distribution of theses.

  • Prioritize candidates for Graduate Committee review.

  • Manage Graduate Open House(s) and other interview/lab tours as requested.

  • Supervise division-level financial aid award process.

  • Respond to inquiries (e-mail, mail, telephone, etc) regarding graduate programs.

  • Arrange for publicity and recruiting.

Requirements

  • Bachelor’s degree required, M.S. 

  • Preferred, 3-5 years of experience.

  • Management experience.

  •  ability to work under pressure. 

  • Must be computer literate on both Mac and PC platform required

  • Software expertise in Microsoft Office, Dreamweaver, FileMaker Pro or other database

  • solution, Adobe Creative Suite (Photoshop, InDesign, Illustrator).

  • Occasional evening and weekend work required during event sessions.
